Defolio guide for jury members

The first voting round

The jury will find the entries to vote on in the Entries tab.
You must vote for all entries in all the categories assigned to the jury member on a
Yes/No/No Answer (NA) scale.

  • Each jury member will vote for all entries submitted in their assigned categories. We recommend using a computer, not a phone or tablet, to vote.
  • If a jury member should come across their own or related entry, they have to press the N/A button. Up and down votes are grayed out when evaluating entries from their own account. We definitely ask those who should evaluate the entries of their own agency to also press the N/A button. This request applies to both the first and second voting rounds.

  • In the first round of voting, it should be taken into account that about half of the entries would be voted for the shortlist (entries reach the shortlist if more than 50% of the jury has voted in favor).
  • In the interests of smooth voting, we ask you to evaluate the entries by subcategories.
  • For example: if you open the subcategory “Välireklaam, poster” under the main category “Reklaam”, you must select the first entry. The jury member casts their vote (after pressing the thumb, it takes a second or two for this vote to be registered), and then you can move on to the next one with the arrow. The very last entry in a subcategory no longer has a forward arrow. Then you must open the next subcategory and vote in the same way.

The PR category evaluates entries in the first round of voting only based on the descriptions provided.

For your information: During the first round of voting, the text “Second round voting (teine voor)” will be visible under the “Thumbs up – Thumbs down – NA” buttons, along with information about the closed scale.

This scale will only be activated in the second round of voting, and there is no need to worry about it in the first round.

Once the votes have been cast, the jury member must inform the jury leader via e-mail. 

When the first round of voting has been successfully completed, the jury leaders log in to Defolio and click the “End Voting” button in the Jury menu, after which the system generates a Shortlist based on the results of the first round of voting in their category.

  • The shortlist can be viewed by jury members, the jury leader and the organisers of the competition.
  • The resulting Shortlist can be viewed by the jury members, the jury leader and the competition organizer from the Shortlist button in the main menu. The entries added there are ranked in order of superiority in each category — the entry with the most points is considered first. The jury leader can also see the exact score in the Entries menu if necessary.
  • The competition organizer, in cooperation with the jury leaders, chooses a suitable moment and announces the Shortlists, after which they are visible to the public. 

The second round of voting

We ask all jury members, jury leaders and assistants to bring their own computers.

  • The assistant will be added to the jury in the morning in Defolio in the category assigned to them and their computer will be connected to the screen, so if you have an adapter, we ask you to bring it with you just in case.
  • Adding an assistant to the jury is necessary because the jury leader can see information about the entry submitter, which means they cannot display their own computer on the screen.

This round, the entries must be opened in the Shortlist menu, not in the Entries view. Only the entries that were screened from the first voting round are displayed there.

  • The jury leader can decide at this point, together with the jury, whether they want to add any submission that was not shortlisted for the second voting round or, conversely, exclude them.
  • Voting is on a scale of 1-5. 5 is the best score, 1 is the lowest. The jury member will also see their vote in the first round on the entry, but that vote will not affect the evaluation of this voting round in any way.
  • The assistant does not vote and will be removed from the jury after the voting has ended.
  • When all jury members have cast their second round votes, it is time to press the End voting button again, after which the points appear in red in the Shortlist menu under the boxes of the entries there.

The jury leader can press the End voting button in the Jury menu, next to the category assigned to them.

Awards can be assigned to the entries by the competition organizer and the jury leader for the given category. To do this, open the entry and select the appropriate award from the “Select award” drop-down menu.
